Quivr is now SOC2 Type 1 compliant. Let's explore what this means and walk through the process we followed to achieve compliance. If you're building a SaaS product, this blog post will serve as a practical guide to obtaining your SOC2 certification.

What is SOC2?

SOC2 is a compliance standard developed by the American Institute of CPAs (AICPA). Yes, you read that right—accountants created what has become the leading security standard for SaaS companies. SOC2 evaluates companies based on five Trust Services Criteria: security, availability, processing integrity, confidentiality, and privacy. Companies can achieve two types of compliance, each requiring an external audit:

  • Type 1: checks if a company is compliant at a point in time.

  • Type 2: checks if a company stays compliant during an observation window (typically 6 months to a year).

Why did we get SOC2 certified?

The main reason to pursue SOC2 certification is straightforward—customers demand it.

Our team was spending significant time completing security questionnaires and having calls with potential customers to explain our security practices and data protection measures.

As a RAG company, we handle sensitive customer data, which made SOC2 certification a natural priority since it specifically addresses data handling practices.

It's also far more efficient to implement and maintain SOC2 compliance by establishing proper standards and practices from the beginning.

Choosing a compliance monitoring tool

Several tools integrate with cloud providers, task management systems, identity providers, and HR systems to simplify monitoring, collecting, and submitting evidence to auditors. We evaluated Vanta and Oneleet. Our stack is fairly standard (AWS, GSuite, and Github), and both tools integrated well with these systems.

During evaluation, we found some tools requested excessive permissions when integrating with our vendors (like read/write access to Github), which immediately disqualified them. Some offered a lightweight agent for Mobile Device Management (MDM), but otherwise, the products were quite similar.

We ultimately chose Oneleet, with Vanta as a close runner-up. Oneleet offered broader compliance standard coverage at the time and, as a fellow YC company, felt like a natural fit. Vanta's poor support reviews from early YC founders also influenced our decision. Today, the feature gap between these tools has narrowed significantly, as they all support the compliance standards we're targeting.

Choosing an Auditor

After setting up Oneleet (which involved persuading developers to install a security agent on their laptops) and completing the SOC2 task checklist, we began our search for auditors. Oneleet simplified this process—they handled everything, and we didn't even need to meet the auditor directly. Since our auditors were already familiar with Oneleet's system, this streamlined the audit process.

The process began with an initial call to review which systems would be included in the audit's scope. We then established a specific audit date. This Type 1 audit would verify our compliance with stated policies at that particular moment in time.

Off to the races

Once the audit date was set, we rushed to get everything in order.

Oneleet has a lightweight, read-only agent that verifies important security features for all team members, such as hard disk encryption. While it supports Mac, Windows, and Linux, hard disk encryption remains challenging on some Linux distributions. To simplify this, we standardized on Mac and Windows. Though a more powerful Mobile Device Management (MDM) solution would allow remote wiping of stolen computers, we determined our existing protections were adequate.

We developed several essential policies, including Access Control, Data Management, and Asset Management. Oneleet provided templates that we customized to our needs. Since our auditors were familiar with these templates, the policy language review went smoothly.

We provided comprehensive evidence of our cloud activity monitoring. Our Cloudwatch logs are retained for at least a year, and we monitor Cloudtrail logs with Slack notifications for critical events—such as root AWS account logins, public bucket creation, and IAM policy changes.

Enabling GitHub's branch protection ensures code can't be merged without prior review.

We had already implemented other security measures: data encryption at rest and in transit, MFA enforcement where possible, password manager standardization, and elimination of long-lived SSH keys.

Finally, we evaluated all vendors with access to confidential data—now it was our turn to request SOC2 reports and send security questionnaires 😈..

Making the SOC2 process work for you

We made a conscious effort to avoid implementing processes solely to meet SOC2 requirements. Each addition needed to meaningfully improve our security or reduce risk. This often meant working with auditors to demonstrate how we satisfied controls in our own way, even if it differed from their standard approach.

We leveraged the SOC2 process to formalize the security practices we were already following informally at Quivr.

We did encounter some unavoidable "check-the-box" requirements—security awareness training being a prime example. Despite our team's strong security practices, we still had to complete these formalities, even though watching videos about password safety seemed redundant for our security-conscious team.

A few surprises

We were surprised by the amount of manual evidence we had to collect—yes, including screenshots—even with a tool like Oneleet. Some things simply can't be automated. For example, we had to provide evidence of proper onboarding and offboarding checklists, and demonstrate how we resolve security issues from penetration tests within specific timeframes.

Since Type 1 audit only requires evidence at a single point in time, a tool like Oneleet offers limited value. However, for Type 2 certification, which requires proving ongoing compliance, a monitoring tool becomes essential. If you're pursuing multiple certifications, these tools are particularly valuable since frameworks overlap significantly—you'll only need to collect evidence once.

Interestingly, many controls that other companies described as challenging during their SOC2 journey weren't blockers for us. The specific requirements depend on your systems' scope, architecture, and auditor. The key lesson? Connect with your auditor early to understand what's relevant for your audit.

Unlike pentesters or bug bounty hunters, auditors take a more collaborative approach. When you show them a PR that addresses a security issue, they trust your implementation. They won't try to bypass your fix to find exceptions. This highlights why SOC2 certification is just one piece of security—what satisfies an auditor often differs from what would impress a penetration tester.

Today we are launching our security center. This portal showcases our data protection measures and provides access to our audit reports.

What's Next

SOC2 certification is just the beginning. We're now working toward HIPAA certification and would welcome any discussions about our security initiatives. In the coming months, we'll be implementing additional security enhancements to Quivr.

Quivr: Your second brain

  • Stan - Sensei: Sometimes being pragmatic isn’t interesting 😬 While building Quivr we had to take some shortcuts and I never took some time to think about proper architecture 🤷 Now we have conflicts with PRs from contributors because we have a un-optimised architecture. We are working on it but we lost a bit of time trying to ride the hype wave 😎

  • Zineb - Chief Dev: It’s difficult seeing the added value of each feature when you can’t ask your users regularly. Looking forward to the new UX of chat and its technical challenges ! 😄

  • Mamadou - Frontend Wizard: Two weeks ago, 2 tests broke. During code review, the tests went red. Assuming these 2 tests were the issue, we missed root cause, causing more failures (and bugs) 🙃 To prevent, consider temporarily skipping time-consuming fixes – a minor fix; big value! This approach worked for backend tests and static analysis.😇

  • Chloe - Product Maestro: When things don't align in the project timeline, we don't panic, we dive into solution mode with the "problem solving" method from lean management 🤩 Finding the root cause unveils the hidden 'why.' We emerge stronger with key takeaways, fueling our journey of continuous improvement 🤌🏼

  • Matt - N1 Deshi: Mangement takes longer than anyone would like 😒 The move from a passion project to a real project with actual users and other team members is equally difficult in both communicating a shared vision and building the infrastructure in the team to accomplish it together 😁

  • Manon - Backend Virtuoso: The limitation of tokens with different sizes of context windows and how to construct a prompt to include as much information as possible for the AI 👌🏼 Building for those little models is hard but allows us to have more options in the future with regards fine-tuning and all that fun stuff 💫

  • 📣 Nvidia unveiled its latest AI superchip, the GH200, specifically tailored for AI inference tasks. 

  • 💸 In Amazon's latest earnings call, CEO Andy Jassy revealed that every team within the company is actively working on generative AI projects, spanning entertainment, AWS, advertising, and devices. Jassy expressed the importance of GenAI, saying it will be at the heart of operations and represent a significant investment and focus for the company.

  • 🛠️ Apple's CEO, Tim Cook, confirmed that the company's significant R&D spending is partly driven by its investments in AI.

  • 🌈 Google released Project IDX, an experiment to improve full-stack, multiplatform app development.

  • ⚠️ Gartner have revealed the results of a survey of 249 senior enterprise risk executives on the Top 5 Emerging Risks in the Second Quarter of 2023. Generative AI was the second most-frequently named risk in our second quarter survey, appearing in the top 10 for the first time.

  • Stan - Sensei: We tried to be compatible with many different types of LLM from the start. This complicated our backend and resulted in Quivr having a bad UX 😒 We’ve created a new project called Genoss that takes the complexity away 😜Now we have a simple application that has streaming and is awesome to use.

  • Zineb - Chief Dev: X (Twitter) got people talking about super apps. At Quivr, we have also been exploring creating a simple yet powerful app, a smart virtual assistant in one sleek interface 🦢 Raises some interesting questions: How realistic is it? And how well is this new trend going to be accepted by users? 🤷

  • Mamadou - Frontend Wizard: UX truly matters 👌🏼 A great project with poor UX will struggle to achieve the desired reach. Developing a product that evolves constantly is challenging. The architecture should be modular, not only to accommodate new features but also to facilitate the removal of bad ones 😇

  • Matt - Backend Dude: A project with no marketing remains a side project and can never reach any critical mass of users to self-sustain 🤩 As a dev, I have always avoided that side of open-source but learning to embrace it has opened up many more, doors 🚪

  • Chloe - Product Maestro: A project is never set in stone with just one version. It's all about staying cutting-edge, sparking debates, embracing feedback, and constantly refining. 🙌 We're on a non-stop journey, not resting on laurels, constantly challenging our own ideas. Together, we'll go the extra mile and unlock extraordinary possibilities 🔥

  • 👀 OpenAI has applied for a trademark for GPT-5, the next version of its large language model. The trademark application with the U.S. Patent and Trademark Office describes GPT-5 as "downloadable computer software" for tasks like natural language processing, text, and speech generation, understanding, and analysis, including translation and transcription.

  • Stan - Sensei: Building a product is easy, a good product is hard. Adding features without bloat is the major challenge. Simple designs are often the hardest one to come to. Creating a new page for a new feature is easy, integrating is not so trival 🤷

  • Zineb - Chief Dev: Remodeling Quivr as the vision changes creates its own problems. This week, we’re adding a file management system using supabase storage! 😎 Fun moment: When tech and product teams realize they’ve been discussing different features using the same components for the past week 😜

  • Mamadou - Frontend Wizard: Good code quality is invaluable. Through gradual refinement of our frontend architecture, we now ship features with confidence, all thanks to rigorous testing 🧪 Our golden rule: communication via code - keep it simple, keep it readable 💫

  • Matt - Backend Dude: Seperating the user from the contributor is super hard. When dealing with large LLMs, there are going to be some computations that need special hardware ⚙️ At some point we are going to break the golden rule of letting Quivr run for anyone 😬

  • Chloe - Product Maestro: Creating a comprehensive product is cool, making it simple is essential! 3 steps that we followed with the Quivr team to achieve it: 1. Go back to basics and keep it simple. 😊 2. User experience has to be intuitive. 🤩 3. Challenge and Iterate. Question each feature and user journey 🌊

  • Brian - Methodology King: Greatest products try to hide a maximum of complexity within the user interface. That’s our North Star at Quivr. Something is cooking very soon in that sense 😁

  • Daniel - Feedback Warrior: Using the ARRR metrics, we found Quivr's retention below 2%, revealing a chance to reinvent the Quivr experience. We're making it simpler and more focused on what users want. Expect a reimagined, user-friendly Quivr soon - stay tuned! 😇

  • Stan - Sensei: DB migrations are tricky. We made a migration that made our database explode 🤯 and had to delete some vectors in our demo DB [tweet]. Now I’m a Supabase contributor because I had to use a feature that should never be used 🤷‍♂️

  • Zineb - Chief Dev: Releasing to prod 4 times a week is a big challenge. Embrace LEAN dev practises 🏃🏼‍♀️. Slowly but surely getting closer to our release goal with a 0 bug policy.

  • Mamadou - Frontend Wizard: Custom hooks are reducing overhead in our development 🪝 They have helped us separate pure UI code from functions and have made our frontend easier to test 🧪

  • Matt - Backend Dude: Building out private LLMs has a bunch of unique challenges. We are essentially building a scaled-down private cloud for our users 🫣 Setting the right domains is going to be key to ensuring our success in building a multi-tenancy 👀

  • Chloe - Product Maestro: It’s essential to convey Quivr’s value clearly! We need to work on both features and the presentation of those features ⚖️ One cannot succeed without the other! We're also working on improving our efficiency in meetings and staying focused on providing value 🚀

  • Brian - Methodology King: You miss what you have when it’s gone! High deployment velocity is important to maintain a healthy product and we broke that this week with the database issues 😬 This is the feature flow from idea conception, tickets for dev, to validation and releases to production ⏳

  • Daniel - Feedback Warrior: Google blocked my email account, due to sending 500 daily emails for a Quivr survey 😔 The incident highlighted the need for a dedicated CRM, strict user consent, and adherence to platform policies for efficient community outreach 🤝

  • 🎉 Huge news that Meta just released Llama 2! Their next generation of open source large language model. Llama 2 is free for research and commercial use.

  • 🧐 Worryingly GPT-4 is getting worse not better over time. Here is the link to the research paper which explains it in detail.

  • 🧪 Langchain just announced LangSmith: a unified platform for debugging, testing, evaluating, and monitoring your LLM applications. We use it on the Quivr demo and it is really bridging the gap to help create production apps.
