</style><div class='beehiiv__body'><p class="paragraph" style="text-align:left;">Few things worry a small business owner more than takings that don&#39;t arrive. Reviews of payment and booking platforms include stories of weeks of card payments held with no release date, accounts frozen during &quot;reviews&quot;, and support teams that are hard to reach while the money is stuck.</p><p class="paragraph" style="text-align:left;">Most holds have an ordinary explanation. Knowing what it is helps you avoid them, and helps you get answers faster when one happens.</p><h2 class="heading" style="text-align:left;" id="why-payment-providers-hold-money">Why payment providers hold money</h2><p class="paragraph" style="text-align:left;">Card payments can be reversed. A customer can dispute a charge weeks later, and the payment provider is on the hook if your business can&#39;t cover it. So providers watch for risk and sometimes hold money back:</p><ul><li><p class="paragraph" style="text-align:left;"><b>A sudden change.</b> Much bigger takings than usual, or a burst of large deposits.</p></li><li><p class="paragraph" style="text-align:left;"><b>Bookings far in advance.</b> Taking money now for something that happens in three months, such as events, courses and tours.</p></li><li><p class="paragraph" style="text-align:left;"><b>Disputes and refunds.</b> A run of chargebacks makes a provider cautious.</p></li><li><p class="paragraph" style="text-align:left;"><b>Missing checks.</b> Unverified identity or bank details, or a business type that doesn&#39;t match what you&#39;re selling.</p></li></ul><p class="paragraph" style="text-align:left;">A <b>rolling reserve</b> is when a provider keeps a percentage of each payment for a set period before releasing it. A <b>payout schedule</b> is how often money moves to your bank: daily, weekly or on demand.</p><h2 class="heading" style="text-align:left;" id="how-booking-platforms-fit-in">How booking platforms fit in</h2><p class="paragraph" style="text-align:left;">Some booking platforms take payments into their own account and pay you out later, less their fees. Others connect to a payment account in your own name, so money moves straight from the provider to you. The second way is usually clearer: you can see every payment, payout and dispute yourself, and you deal directly with the provider if something goes wrong.</p><h2 class="heading" style="text-align:left;" id="how-to-avoid-most-holds">How to avoid most holds</h2><ol start="1"><li><p class="paragraph" style="text-align:left;"><b>Verify everything up front:</b> identity, bank account and business details.</p></li><li><p class="paragraph" style="text-align:left;"><b>Describe your business accurately,</b> especially if you take deposits for future dates.</p></li><li><p class="paragraph" style="text-align:left;"><b>Warn your provider before a big change,</b> such as a launch, an event or a new location.</p></li><li><p class="paragraph" style="text-align:left;"><b>Keep refunds and disputes low</b> with clear cancellation terms shown at booking, and reminders so people don&#39;t forget.</p></li><li><p class="paragraph" style="text-align:left;"><b>Know your payout schedule</b> and check it matches your cash-flow needs.</p></li></ol><h2 class="heading" style="text-align:left;" id="questions-to-ask-any-booking-platfo">Questions to ask any booking platform</h2><ul><li><p class="paragraph" style="text-align:left;">&quot;Do payments go into an account in my name, or yours?&quot;</p></li><li><p class="paragraph" style="text-align:left;">&quot;How often are payouts made, and can I see each one?&quot;</p></li><li><p class="paragraph" style="text-align:left;">&quot;Do you add a fee on top of the card processing rate?&quot;</p></li></ul><hr class="content_break"><p class="paragraph" style="text-align:left;">With <a class="link" href="https://hackney.club?utm_source=hackneyclub.beehiiv.com&utm_medium=newsletter&utm_campaign=where-s-my-money-payouts-holds-and-deposits-explained" target="_blank" rel="noopener noreferrer nofollow">hackney.club</a>, deposits and payments go straight into your own Stripe account, under Stripe&#39;s terms. <a class="link" href="https://hackney.club?utm_source=hackneyclub.beehiiv.com&utm_medium=newsletter&utm_campaign=where-s-my-money-payouts-holds-and-deposits-explained" target="_blank" rel="noopener noreferrer nofollow">hackney.club</a> takes 0% and never holds your money; Stripe&#39;s standard card fees apply.<i> </i><a class="link" href="https://hackney.club?utm_source=hackneyclub.beehiiv.com&utm_medium=newsletter&utm_campaign=where-s-my-money-payouts-holds-and-deposits-explained" target="_blank" rel="noopener noreferrer nofollow"><i>Build yours free →</i></a></p></div><div class='beehiiv__footer'><br class='beehiiv__footer__break'><hr class='beehiiv__footer__line'><a target="_blank" class="beehiiv__footer_link" style="text-align: center;" href="https://www.beehiiv.com/powered-by?publication_logo=https%3A%2F%2Fmedia.beehiiv.com%2Fcdn-cgi%2Fimage%2Ffit%3Dscale-down%2Cformat%3Dauto%2Conerror%3Dredirect%2Cquality%3D80%2Fuploads%2Fpublication%2Flogo%2Fd702d391-7170-4d59-bb48-d208704e8d74%2Flogo-800.png%3Fv%3D1793232342&publication_name=hackney.club&utm_campaign=0d666734-7908-4202-bb1f-62d9d8e0c902&utm_medium=post_rss&utm_source=hackney_club">Powered by beehiiv</a></div></div>

</style><div class='beehiiv__body'><p class="paragraph" style="text-align:left;">Your customer list is the most valuable thing your business owns after its reputation. It&#39;s the people who come back, recommend you and fill the quiet Tuesdays. So it&#39;s worth asking a blunt question about every tool you use: if I stopped paying tomorrow, would I still have it?</p><h2 class="heading" style="text-align:left;" id="booking-tool-or-marketplace">Booking tool or marketplace?</h2><p class="paragraph" style="text-align:left;">A <b>booking tool</b> is software you pay for to run your diary. Your customers book with you. The data belongs to you, and the tool processes it for you.</p><p class="paragraph" style="text-align:left;">A <b>marketplace</b> is a shopfront where lots of businesses are listed side by side. Customers book through the marketplace, often with their own account on it. The marketplace has its own relationship with them, and its own interest in them booking again, not necessarily with you.</p><p class="paragraph" style="text-align:left;">Many platforms are both, and the line between the two isn&#39;t always obvious when you sign up.</p><h2 class="heading" style="text-align:left;" id="the-problems-owners-run-into">The problems owners run into</h2><p class="paragraph" style="text-align:left;">The complaints that come up in reviews of marketplace-style platforms:</p><ul><li><p class="paragraph" style="text-align:left;"><b>Rivals on your page.</b> A customer looking you up sees other businesses nearby, sometimes cheaper, sometimes with a &quot;book now&quot; button.</p></li><li><p class="paragraph" style="text-align:left;"><b>Pay to be seen.</b> Owners who don&#39;t pay for promotion say their profile sinks in search results.</p></li><li><p class="paragraph" style="text-align:left;"><b>Rules about steering.</b> Some partner terms limit how you can encourage marketplace customers to book with you directly.</p></li><li><p class="paragraph" style="text-align:left;"><b>Thin exports.</b> You can download names, but not the booking history, notes or marketing consent that make the list useful.</p></li></ul><h2 class="heading" style="text-align:left;" id="how-to-keep-the-relationship-yours">How to keep the relationship yours</h2><ol start="1"><li><p class="paragraph" style="text-align:left;"><b>Use your own booking link everywhere you control:</b> your website, Instagram bio, Google Business Profile, confirmation messages and receipts.</p></li><li><p class="paragraph" style="text-align:left;"><b>Collect marketing consent yourself,</b> with a clear tick box, so you can email people under your own name.</p></li><li><p class="paragraph" style="text-align:left;"><b>Export your list regularly,</b> every month or so, and check it includes contact details, history and consent.</p></li><li><p class="paragraph" style="text-align:left;"><b>Treat a marketplace as advertising,</b> not as your home. If it brings new people, good. Then give them a reason to book with you directly next time.</p></li></ol><h2 class="heading" style="text-align:left;" id="a-note-on-gdpr">A note on GDPR</h2><p class="paragraph" style="text-align:left;">Under UK GDPR, the business that decides why and how customer data is used is the controller. If a platform is only processing data for you, you should be able to get it back. If the customer signed up to the platform themselves, the platform may be a controller too, and that&#39;s exactly when your access can get complicated. It&#39;s worth asking any provider which it is.</p><hr class="content_break"><p class="paragraph" style="text-align:left;"><i>With </i><a class="link" href="https://hackney.club?utm_source=hackneyclub.beehiiv.com&utm_medium=newsletter&utm_campaign=who-owns-your-customer-list" target="_blank" rel="noopener noreferrer nofollow"><i>hackney.club</i></a><i>, your booking page is yours: no other businesses listed on it, no pay-to-rank, and your full customer list to export whenever you like. </i><a class="link" href="https://hackney.club?utm_source=hackneyclub.beehiiv.com&utm_medium=newsletter&utm_campaign=who-owns-your-customer-list" target="_blank" rel="noopener noreferrer nofollow"><i>See yours in two minutes →</i></a></p></div><div class='beehiiv__footer'><br class='beehiiv__footer__break'><hr class='beehiiv__footer__line'><a target="_blank" class="beehiiv__footer_link" style="text-align: center;" href="https://www.beehiiv.com/powered-by?publication_logo=https%3A%2F%2Fmedia.beehiiv.com%2Fcdn-cgi%2Fimage%2Ffit%3Dscale-down%2Cformat%3Dauto%2Conerror%3Dredirect%2Cquality%3D80%2Fuploads%2Fpublication%2Flogo%2Fd702d391-7170-4d59-bb48-d208704e8d74%2Flogo-800.png%3Fv%3D1793232342&publication_name=hackney.club&utm_campaign=2cc6ad83-cf32-4058-845b-f0b07c1c24c6&utm_medium=post_rss&utm_source=hackney_club">Powered by beehiiv</a></div></div>

Your diary lives in it, your customers know the link, your team knows the screens. That makes it hard to leave even when you&#39;re free to. When you&#39;re also tied into a contract, it can become very expensive.</p><p class="paragraph" style="text-align:left;">Owner reviews of booking software often raise the same points:</p><ul><li><p class="paragraph" style="text-align:left;">A rep said you could leave early. The contract said you couldn&#39;t.</p></li><li><p class="paragraph" style="text-align:left;">The contract renewed automatically for another year because notice wasn&#39;t given in time.</p></li><li><p class="paragraph" style="text-align:left;">Charges carried on after the owner thought they&#39;d cancelled.</p></li></ul><p class="paragraph" style="text-align:left;">Most of this comes down to terms that weren&#39;t clear at the start. Here&#39;s what to look for.</p><h2 class="heading" style="text-align:left;" id="the-four-clauses-that-matter">The four clauses that matter</h2><p class="paragraph" style="text-align:left;"><b>1. Length and renewal.</b> How long is the minimum term? Does it renew automatically? For how long: a month, or another full year?</p><p class="paragraph" style="text-align:left;"><b>2. Notice period.</b> How much notice do you have to give, and how? Some contracts need written notice 30, 60 or 90 days before the renewal date. Miss it and you&#39;ve signed up for another term.</p><p class="paragraph" style="text-align:left;"><b>3. Early exit.</b> If you leave before the end, do you owe the rest of the contract? A cancellation fee? Is there an exception if the service doesn&#39;t do what was promised?</p><p class="paragraph" style="text-align:left;"><b>4. Your data on the way out.</b> Can you export your customer list, booking history and notes, and in what format? Is there a charge? How long do you have after cancelling?</p><h2 class="heading" style="text-align:left;" id="what-a-salesperson-says-isnt-the-co">What a salesperson says isn&#39;t the contract</h2><p class="paragraph" style="text-align:left;">If a rep promises something that matters to you, such as &quot;you can cancel any time&quot; or &quot;no setup fee&quot;, ask for it in writing, by email, before you sign. If it isn&#39;t in the contract or that email, assume it doesn&#39;t apply.</p><h2 class="heading" style="text-align:left;" id="three-questions-to-ask-before-you-s">Three questions to ask before you sign</h2><ol start="1"><li><p class="paragraph" style="text-align:left;">&quot;If I want to leave in month four, what exactly do I pay?&quot;</p></li><li><p class="paragraph" style="text-align:left;">&quot;How and when do I give notice, and will you confirm it in writing?&quot;</p></li><li><p class="paragraph" style="text-align:left;">&quot;Can I download all my customers and bookings myself, any time, for free?&quot;</p></li></ol><p class="paragraph" style="text-align:left;">A clear answer to all three is a good sign. </style><div class='beehiiv__body'><p class="paragraph" style="text-align:left;">Plenty of booking platforms advertise a free plan or a low monthly price. Some of them stay that way. Others turn out to cost a lot more once you&#39;re settled in and your customers are used to booking through them.</p><p class="paragraph" style="text-align:left;">Owners&#39; reviews tell a familiar story: a &quot;free&quot; tool that later brought in a subscription, features moved behind a paywall one by one, or a bill that grew a lot over a few years. None of that is illegal. But it&#39;s much easier to spot before you sign than after.</p><p class="paragraph" style="text-align:left;">These are the six places to look.</p><h2 class="heading" style="text-align:left;" id="1-commission-on-bookings">1. Commission on bookings</h2><p class="paragraph" style="text-align:left;">Some platforms take a percentage of bookings, usually ones they say they sent you. Check the rate, any minimum fee per booking, and exactly which bookings it applies to.</p><p class="paragraph" style="text-align:left;"><b>Ask:</b> &quot; If my existing customer books through your app, do I pay commission?&quot;</p><h2 class="heading" style="text-align:left;" id="2-card-processing">2. Card processing</h2><p class="paragraph" style="text-align:left;">Every platform that takes payments charges a processing fee. Some pass on the card network&#39;s rate, others add their own margin, and some lock you into their own payment service.</p><p class="paragraph" style="text-align:left;"><b>Ask:</b> &quot;What&#39;s the fee per card payment, and can I use my own payment account?&quot;</p><h2 class="heading" style="text-align:left;" id="3-text-messages">3. Text messages</h2><p class="paragraph" style="text-align:left;">Reminder texts cut no-shows, which makes them one of the most useful features you&#39;ll have. They&#39;re also one of the most common surprise costs. Many platforms include a monthly allowance, then charge per message or sell credit packs, and the price isn&#39;t always shown until you&#39;re inside the app.</p><p class="paragraph" style="text-align:left;"><b>Ask:</b> &quot; How many reminder texts are included each month, and what does each one cost after that?&quot;</p><h2 class="heading" style="text-align:left;" id="4-perperson-pricing">4. Per-person pricing</h2><p class="paragraph" style="text-align:left;">A price &quot;per team member&quot; looks small at the start. Add a part-timer, a Saturday junior and a freelancer who rents a chair, and it&#39;s four times the headline.</p><p class="paragraph" style="text-align:left;"><b>Ask:</b> &quot; What would I pay with five people on the rota?&quot;</p><h2 class="heading" style="text-align:left;" id="5-addons">5. Add-ons</h2><p class="paragraph" style="text-align:left;">Online deposits, marketing emails, a website, reviews, a branded app, reports. On some platforms each is a separate monthly charge. Add the ones you&#39;ll actually need and compare that total, not the starting price.</p><p class="paragraph" style="text-align:left;"><b>Ask:</b> &quot;Which of these are included on the plan you&#39;re quoting me?&quot;</p><h2 class="heading" style="text-align:left;" id="6-what-happens-when-the-free-plan-e">6. What happens when the free plan ends</h2><p class="paragraph" style="text-align:left;">Free plans have limits: bookings a month, staff, locations or features. Find out what happens when you pass them, and whether the platform has changed its free plan before.</p><p class="paragraph" style="text-align:left;"><b>Ask:</b> &quot; If I go over the limit, do my bookings stop, or does my price change? </style><div class='beehiiv__body'><p class="paragraph" style="text-align:left;">Booking marketplaces sell a simple promise: we send you new customers, you pay us a share of their first visit. Published rates for that first booking run from about 20% to 35% on the big beauty and wellness platforms. If the customer really was new, and really came from the marketplace, that can be a fair trade.</p><p class="paragraph" style="text-align:left;">The trouble starts when the customer wasn&#39;t new.</p><h2 class="heading" style="text-align:left;" id="how-a-regular-becomes-new">How a regular becomes &quot;new&quot;</h2><p class="paragraph" style="text-align:left;">Read reviews from salon owners, barbers and therapists and the same story comes up again and again. A client who has been coming for years books through the app instead of texting you. The platform counts them as a marketplace booking, and you pay the new-client fee.</p><p class="paragraph" style="text-align:left;">It happens for a few ordinary reasons:</p><ul><li><p class="paragraph" style="text-align:left;"><b>The client found your profile by searching for you by name.</b> You sent them there. The platform still logs a marketplace booking.</p></li><li><p class="paragraph" style="text-align:left;"><b>They hadn&#39;t booked in a while.</b> Some platforms treat a client as new again once they haven&#39;t booked through you for a set period, often a year.</p></li><li><p class="paragraph" style="text-align:left;"><b>Their details don&#39;t match.</b> A different email address or phone number from the one in your records, and the system can&#39;t tell it&#39;s the same person.</p></li><li><p class="paragraph" style="text-align:left;"><b>Your own link sends people through the marketplace.</b> If the &quot;Book&quot; button on your Instagram goes to a marketplace page rather than a direct booking page, every tap starts on their turf.</p></li></ul><p class="paragraph" style="text-align:left;">Some platforms ask for proof, such as written confirmation from the client, before they reverse a fee. Check what yours requires.</p><h2 class="heading" style="text-align:left;" id="why-it-adds-up">Why it adds up</h2><p class="paragraph" style="text-align:left;">Take a stylist charging £60 a cut. At 30%, one wrongly tagged regular costs £18. Five a month is £90. That&#39;s more than £1,000 a year, on people who already had your number.</p><h2 class="heading" style="text-align:left;" id="five-things-to-check-this-week">Five things to check this week</h2><ol start="1"><li><p class="paragraph" style="text-align:left;"><b>Find the rule in your contract.</b> Look for &quot;new client&quot;, &quot;marketplace&quot; or &quot;commission&quot;. Note the percentage, any minimum fee, and how long a client stays &quot;new&quot;.</p></li><li><p class="paragraph" style="text-align:left;"><b>Check every link you control.</b> Instagram bio, Google Business Profile, website, WhatsApp auto-reply. Each should go to a direct booking page that doesn&#39;t charge commission, not to your marketplace listing.</p></li><li><p class="paragraph" style="text-align:left;"><b>Pull last month&#39;s commission report.</b> Pick five names and check them against your own records. If you knew them before they booked, write down why.</p></li><li><p class="paragraph" style="text-align:left;"><b>Ask how disputes work, in writing.</b> What counts as proof? How long do you have to dispute? Keep the answer.</p></li><li><p class="paragraph" style="text-align:left;"><b>Tell your regulars where to book.</b> A card at the till or a line in your confirmation message: &quot;Book direct at …&quot;. Most clients don&#39;t mind which link they use. They just use the first one they find.</p></li></ol><h2 class="heading" style="text-align:left;" id="the-bigger-question">The bigger question</h2><p class="paragraph" style="text-align:left;">Marketplaces can be a useful way to fill quiet slots. The problem is when the same tool runs your whole diary, so every booking passes through a system whose fees depend on how each customer is tagged.</p><p class="paragraph" style="text-align:left;">Keep the two jobs apart. Use a marketplace for discovery if it works for you, and take bookings from your own customers on a system that charges you nothing for them.</p><hr class="content_break"><p class="paragraph" style="text-align:left;"><a class="link" href="https://hackney.club?utm_source=hackneyclub.beehiiv.com&utm_medium=newsletter&utm_campaign=the-new-client-fee-are-you-paying-commission-on-your-own-regulars" target="_blank" rel="noopener noreferrer nofollow"><i>hackney.club</i></a><i> is a free booking system, CRM and website for independent businesses.
