It gets great engagement, people reply saying it helped them, and then... they move on to the next thing.</p><p class="paragraph" style="text-align:left;">Four hours of work. One platform. One moment in time.</p><p class="paragraph" style="text-align:left;">Meanwhile, that same creator is stressing about not having enough time to create content everywhere else.</p><p class="paragraph" style="text-align:left;">The irony? The content already exists. Maybe it&#39;s your newsletter, a podcast, YouTube, or long-form LinkedIn posts. Create one solid piece of content here first. Same core message, slightly different angle for the audience</p></li><li><p class="paragraph" style="text-align:left;"><b>A thread</b> - Pull out 5-7 key points and turn them into a Twitter/X or Threads post where each point tells part of the story</p></li><li><p class="paragraph" style="text-align:left;"><b>A visual carousel</b> - Design 5 slides with the main takeaways. One concept per slide, minimal text, make it scroll-worthy</p></li><li><p class="paragraph" style="text-align:left;"><b>A short video script</b> - Talk through the concept in 60-90 seconds. The original piece basically gives you the script already</p></li><li><p class="paragraph" style="text-align:left;"><b>A community conversation starter</b> - Share the personal story behind the piece and ask people about their own experiences. Some content works better in certain formats. But having a repurposing system means you&#39;re choosing strategically instead of staring at a blank screen wondering what to post.</p><p class="paragraph" style="text-align:left;">The bottleneck for most creators isn&#39;t actually a lack of ideas. It&#39;s a lack of distribution. Client work, content, networking, launches, collabs, all of it. Be brutally honest. No rounding up, no &quot;this is building toward something&quot; justifications.</p><p class="paragraph" style="text-align:left;">Just the real numbers.</p><p class="paragraph" style="text-align:left;"><b>What You&#39;ll Probably Find</b></p><p class="paragraph" style="text-align:left;">If your Q1 looks anything like most creators I talk to, you&#39;re going to see a pretty classic 80/20 situation. About 20% of your activities generated 80% of your revenue. The rest? Likely the elaborate content strategy, the networking events, the course you poured weeks into.</p><p class="paragraph" style="text-align:left;">Likes don&#39;t pay the bills. Seeing that confirmed in a spreadsheet hits different than just hearing it. 😬</p><p class="paragraph" style="text-align:left;"><b>The Pattern Worth Noticing</b></p><p class="paragraph" style="text-align:left;">Here&#39;s the uncomfortable part. Most creators spend the majority of their time on activities that generate a small fraction of their revenue.</p><p class="paragraph" style="text-align:left;">And the reason is usually that the high-revenue activities feel too easy or not creative enough to feel like &quot;real work.&quot; So we reach for the complicated, time-consuming stuff instead because it feels like hustle.</p><p class="paragraph" style="text-align:left;">It isn&#39;t. This year? Easily 150+. A 20-minute hallway conversation can get you a two-year retainer.</p><p class="paragraph" style="text-align:left;">IRL events are a cheat code that most creators either skip or underestimate. You build trust faster in person than any amount of DMs or Zoom calls can manufacture. Brands want to work with people they actually know, like, and trust - and nothing accelerates that faster than grabbing a meal together or having a real conversation at a side event. If Substack has a bad day, my newsletter still exists. If Buffer glitches, my social content is safe. Need to reference something I wrote 6 months ago? It&#39;s there. Want to see how my messaging evolved? I can track it. Looking for that perfect framework I created in March? Found it in 30 seconds.</p><p class="paragraph" style="text-align:left;">My AI tools work 10x better. I can drop my entire content folder into Claude and say &quot;update my project knowledge with everything from this month.&quot; Suddenly my AI assistant knows my latest thinking, my current voice, my recent work. It&#39;s like having a team member who&#39;s actually read everything you&#39;ve created.</p><p class="paragraph" style="text-align:left;">Repurposing became effortless. When all your content lives in organized folders, turning a newsletter into LinkedIn posts into video scripts is just copy-paste-adapt. Platform changes their data retention policy? Accidentally delete something? Server issue wipes your history? Then Sunday would roll around and I&#39;d panic about the week ahead without having any idea what actually happened in the week behind me. </p><p class="paragraph" style="text-align:left;">You know that feeling? Where you worked 60 hours, answered 2000 emails, attended 25 meetings, and somehow still felt behind on everything that actually mattered?</p><p class="paragraph" style="text-align:left;">That was me. Every. Single. It takes about 2 hours and it saves me probably 10 hours of chaos during the week.</p><p class="paragraph" style="text-align:left;">Here&#39;s exactly what I do:</p><p class="paragraph" style="text-align:left;"><b>Part 1: The Look Back (30 minutes)</b></p><p class="paragraph" style="text-align:left;">I review last week and ask myself three questions:</p><ul><li><p class="paragraph" style="text-align:left;">What actually got done?</p></li><li><p class="paragraph" style="text-align:left;">What didn&#39;t get done and why?</p></li><li><p class="paragraph" style="text-align:left;">What surprised me (good or bad)?</p></li></ul><p class="paragraph" style="text-align:left;">I&#39;m not journaling here. I&#39;m looking at my calendar, my task list, my completed projects, and getting honest about what happened.</p><p class="paragraph" style="text-align:left;">This is where I catch the things I dropped. The email I forgot to send. The deadline I almost missed. The project that took way longer than expected.</p><p class="paragraph" style="text-align:left;"><b>Part 2: The Brain Dump (15 minutes)</b></p><p class="paragraph" style="text-align:left;">I use Wipsr Flow to ramble and dump everything floating around in my head into Claude:</p><ul><li><p class="paragraph" style="text-align:left;">Things I need to do</p></li><li><p class="paragraph" style="text-align:left;">Ideas I&#39;ve been having</p></li><li><p class="paragraph" style="text-align:left;">Problems I need to solve</p></li><li><p class="paragraph" style="text-align:left;">Questions I need to answer</p></li><li><p class="paragraph" style="text-align:left;">Random thoughts taking up mental space</p></li></ul><p class="paragraph" style="text-align:left;">This isn&#39;t organized. It&#39;s just getting it all out of my brain and onto paper so I can actually think clearly.</p><p class="paragraph" style="text-align:left;">Sometimes this is even pen and paper depending how scattered I am that week & then Claude organizes it into something coherent</p><p class="paragraph" style="text-align:left;"><b>Part 3: The Calendar Review (20 minutes)</b></p><p class="paragraph" style="text-align:left;">I look at the week ahead and identify:</p><ul><li><p class="paragraph" style="text-align:left;">All scheduled meetings and calls</p></li><li><p class="paragraph" style="text-align:left;">All deadlines and deliverables</p></li><li><p class="paragraph" style="text-align:left;">All time-blocked work sessions</p></li><li><p class="paragraph" style="text-align:left;">Where I have gaps (and where I&#39;m overbooked)</p></li></ul><p class="paragraph" style="text-align:left;">This is when I catch conflicts before they become emergencies. &quot;Oh wait, I have three client calls scheduled for the same hour&quot; becomes an easy fix on Sunday instead of a disaster on Tuesday.</p><p class="paragraph" style="text-align:left;"><b>Part 4: The Priority Setting (30 minutes)</b></p><p class="paragraph" style="text-align:left;">From my brain dump and calendar review, I identify my top 3 priorities for the week.</p><p class="paragraph" style="text-align:left;">Not my top 10. Not everything I want to get done. Just three things that, if they&#39;re the only things I accomplish, would make the week a success.</p><p class="paragraph" style="text-align:left;">Everything else gets sorted into:</p><ul><li><p class="paragraph" style="text-align:left;">Can wait until next week</p></li><li><p class="paragraph" style="text-align:left;">Can be delegated</p></li><li><p class="paragraph" style="text-align:left;">Can be deleted</p></li></ul><p class="paragraph" style="text-align:left;"><b>Part 5: The Daily Planning (25 minutes)</b></p><p class="paragraph" style="text-align:left;">For each day of the upcoming week, I assign specific tasks to specific time blocks.</p><p class="paragraph" style="text-align:left;">Monday: Client work in the morning, admin in the afternoon </p><p class="paragraph" style="text-align:left;">Tuesday: Calls in the morning, content creation in the afternoon </p><p class="paragraph" style="text-align:left;">Wednesday: Deep work all day And so on.</p><p class="paragraph" style="text-align:left;">I&#39;m not scheduling every minute. Weeks flew by and I couldn&#39;t tell you where they went.</p><p class="paragraph" style="text-align:left;">Now, I&#39;m intentional about my time. I recently looked at my credit card statement and realized I&#39;m paying for 23 different software subscriptions. Twenty-three. That&#39;s more subscriptions than I have pairs of shoes (& I have a lot of shoes!)</p><p class="paragraph" style="text-align:left;">The kicker? I actively use maybe a dozen of them. The rest are just sitting there, quietly draining $47 here, $29 there, adding up to what could&#39;ve been a really nice vacation fund.</p><p class="paragraph" style="text-align:left;">So I did something radical - I actually sat down and figured out which tools I need, which ones can talk to each other, and which ones are just expensive digital dust collectors.</p><h3 class="heading" style="text-align:left;" id="the-real-problem"><span style="color:rgb(67, 67, 67);">The Real Problem</span></h3><p class="paragraph" style="text-align:left;">We&#39;re all drowning in tools that don&#39;t play nice together. Your content calendar lives in one place while your actual content lives in another. Then I asked myself three questions:</p><ul><li><p class="paragraph" style="text-align:left;">Do I use this at least once a week?</p></li><li><p class="paragraph" style="text-align:left;">Does this solve a problem I actually have?</p></li><li><p class="paragraph" style="text-align:left;">Could another tool I already pay for do this?</p></li></ul><p class="paragraph" style="text-align:left;">I canceled 11 subscriptions in one sitting. That&#39;s $340/month back in my pocket.</p><h4 class="heading" style="text-align:left;" id="step-2-find-the-overlaps"><span style="color:rgb(102, 102, 102);"><b>Step 2: Find the Overlaps</b></span></h4><p class="paragraph" style="text-align:left;">Turns out I was paying for three different tools that all did basically the same thing. I had quite a few tools that record meetings all running simultaneously because I kept going back and forth on which one I wanted to commit to.</p><h4 class="heading" style="text-align:left;" id="step-3-use-ai-for-the-hard-work"><span style="color:rgb(102, 102, 102);"><b>Step 3: Use AI for the Hard Work</b></span></h4><p class="paragraph" style="text-align:left;">This is where things get fun (and a little mind-blowing).</p><p class="paragraph" style="text-align:left;">Take your spreadsheet of all your tools and drop it into Claude or ChatGPT. Then ask: &quot;Where do these tools have overlapping features? Which ones are redundant?&quot;</p><p class="paragraph" style="text-align:left;">The AI will spot things you&#39;d never notice. Like how your project management tool added AI meeting notes last month, which means you&#39;re now paying for two meeting recorders. Or how your email platform quietly rolled out form builders, making that separate form tool unnecessary.</p><p class="paragraph" style="text-align:left;">I did this and discovered:</p><ul><li><p class="paragraph" style="text-align:left;">My calendar tool could handle booking (goodbye scheduling app)</p></li><li><p class="paragraph" style="text-align:left;">Notion added AI summaries (goodbye meeting notes subscription)</p></li><li><p class="paragraph" style="text-align:left;">Canva now has video editing (goodbye to that extra tool)</p></li></ul><p class="paragraph" style="text-align:left;">Bonus move: Ask the AI to suggest integration options. Sometimes two tools you love CAN talk to each other through Zapier or Make - you just didn&#39;t know it was possible.</p><p class="paragraph" style="text-align:left;">Pro tip: Do this quarterly. Tools evolve fast and what was true three months ago might not be true today. Set a calendar reminder to run this check every quarter. It takes 20 minutes and could save you hundreds.</p><h4 class="heading" style="text-align:left;" id="step-4-set-actual-boundaries"><span style="color:rgb(102, 102, 102);"><b>Step 4: Set Actual Boundaries</b></span></h4><p class="paragraph" style="text-align:left;">The tools work for you, not the other way around. I turned off 90% of my notifications. I check email three times a day. I’ve been avoiding sitting down to do my year-end business audit for three weeks now. Not because I’m scared of what I’ll find (okay, maybe a little), but because planning next year’s content calendar feels SO much more exciting than looking at spreadsheets and systems. 😅</p><p class="paragraph" style="text-align:left;">But here’s what I’ve learned after years of doing this: your content strategy means nothing if your business operations are a mess. You can have the best content calendar in the world, but if your invoicing system is broken, your team is confused, or you’re bleeding money on tools you don’t use, you’re building on shaky ground.</p><p class="paragraph" style="text-align:left;">So before you start planning your 2026 content strategy, let’s talk about the business audit questions you actually need to ask yourself.</p><h3 class="heading" style="text-align:left;" id="the-5-questions-every-creator-shoul"><b>The 5 Questions Every Creator Should Ask Before January 1st</b></h3><p class="paragraph" style="text-align:left;"><b>1. I had grand plans to send you gorgeous sunset photos from my Greek cruise while sharing insights about building a business that truly travels with you. Instead, I&#39;m typing this from my AirBnB couch in pajamas, surrounded by tissues and the kind of brain fog that makes me question if &quot;business&quot; is even spelled correctly. 😅</p><p class="paragraph" style="text-align:left;">Covid had other plans for my vacation, and honestly? It&#39;s been the reminder I didn&#39;t know I needed.</p><p class="paragraph" style="text-align:left;">Here&#39;s what I keep thinking about while I&#39;m stuck here recovering: <b>rest isn&#39;t something you earn.</b> You don&#39;t have to work 80 hours to &quot;deserve&quot; a break. You don&#39;t need to check off every item on your to-do list before you&#39;re &quot;allowed&quot; to recharge. And you definitely don&#39;t need to wait for your body to literally force you to slow down (though apparently, that&#39;s exactly what mine decided to do).</p><p class="paragraph" style="text-align:left;">We&#39;ve created this weird culture where rest feels guilty, where taking breaks seems lazy, where admitting you need downtime feels like admitting weakness. But here&#39;s the truth from someone currently living it: your body and your business will function so much better when you actually listen to what you need.</p><p class="paragraph" style="text-align:left;">When&#39;s the last time you took actual rest? Not &quot;productive rest&quot; where you catch up on emails. Not &quot;working vacation&quot; where you&#39;re still taking client calls from the beach. I mean real, guilt-free, do-absolutely-nothing-important rest?</p><p class="paragraph" style="text-align:left;"><b>Here&#39;s your challenge:</b> Go to your calendar right now and block out some rest time. It doesn&#39;t have to be a Greek cruise (clearly, those can get derailed anyway 🙃). It could be a Sunday afternoon with your phone in airplane mode or even just an hour where you don&#39;t feel obligated to create content.</p><p class="paragraph" style="text-align:left;">Your business will survive. Your audience will understand. And honestly? You&#39;ll probably come back with better ideas and more energy than if you pushed through exhausted.</p><p class="paragraph" style="text-align:left;">Since my rest is being forced by this lovely virus, I&#39;m asking a favor this week: <b>hit reply and share something good that&#39;s happened for you recently.</b> It could be a business win, a personal milestone, or just something that made you smile. That gorgeous town you&#39;re visiting? The irony of traveling to beautiful places only to be stuck inside all day isn&#39;t lost on me.</p><p class="paragraph" style="text-align:left;"><b>Overpacking is the real productivity killer.</b> I thought I&#39;d need backup chargers, extra monitors, three different types of adapters, and &quot;just in case&quot; work supplies. Turns out, dragging a 50-pound suitcase through Italian train stations while trying to look professional is way more exhausting than any time zone adjustment. I&#39;ve been gradually abandoning items along the way like some kind of business supply trail.</p><p class="paragraph" style="text-align:left;"><b>Time zones are manageable but require strategy.</b> Being 6-9 hours ahead isn&#39;t necessarily your biggest enemy, but it does mean getting creative with scheduling. I&#39;ve learned to batch my client communication and meetings rather than trying to be available all day across multiple time zones.</p><h2 class="heading" style="text-align:left;" id="the-real-productivity-struggles-nob"><b>The Real Productivity Struggles Nobody Talks About</b></h2><p class="paragraph" style="text-align:left;">Each travel struggle revealed something important about building sustainable creator businesses:</p><p class="paragraph" style="text-align:left;"><b>Overpacking = Tool Bloat.</b> Just like I packed too many &quot;essential&quot; work items, most creators accumulate too many business tools thinking they need everything. The real skill is knowing what&#39;s actually essential. When I spent half my energy just getting set up to work, it reminded me how many creators waste mental bandwidth on poorly designed workflows. Your business operations should be automatic, not constantly requiring problem-solving.</p><h2 class="heading" style="text-align:left;" id="what-actually-works-and-what-im-sti"><b>What Actually Works (And What I&#39;m Still Learning)</b></h2><p class="paragraph" style="text-align:left;">If you&#39;re planning to work while traveling, here&#39;s what I&#39;ve figured out:</p><p class="paragraph" style="text-align:left;"><b>Less is definitely more when packing.</b> That &quot;essential&quot; second monitor and backup office supplies? Leave them home. I&#39;ve been shipping things back to myself because traveling with a mobile office is way more complicated than it looks. Your laptop, charger, and good headphones are probably enough</p><p class="paragraph" style="text-align:left;"><b>Accept that you&#39;ll be indoors more than expected.</b> Instead of fighting it, I&#39;m learning to embrace the hotel room office life. Find accommodations with decent work spaces rather than just pretty views, because you&#39;ll be staring at walls more than scenery anyway.</p><p class="paragraph" style="text-align:left;"><b>Batch your availability smartly.</b> Rather than trying to be available all day across time zones, I&#39;m clustering my meetings and communication windows. Your clients will respect boundaries when you&#39;re clear about them.</p><p class="paragraph" style="text-align:left;"><b>System Design:</b> If your business requires constant firefighting and problem-solving just to function normally, it&#39;s time to simplify.</p><p class="paragraph" style="text-align:left;">The truth is, working while traveling is totally doable, but it&#39;s way more about logistics management than living your best life in beautiful locations. Most of my Italian &quot;adventure&quot; has been spent in my room solving the same business problems I&#39;d handle at home, just with more WiFi passwords in Italian.</p><p class="paragraph" style="text-align:left;">Sometimes the dream of working from anywhere looks a lot more like working from a series of small rooms with varying degrees of functionality.
