Three weeks before the event, the RSVP list is the board and the same few regulars, and the people who would love this night have simply never heard of it. That's the whole problem, and it's the fixable kind.

Filling the room takes three habits and one prompt. Both are below, and they work for every event you'll ever need to fill, so keep this one.

Three things that fill a room

1. Give people one place to look. A public page with your next three events and a join button. The group text is where announcements go to be scrolled past.

2. Ask every regular for one name. "Bring one person who would like this" beats "invite your friends." One name is a task. "Your friends" is a suggestion.

3. Post the room the next morning. One photo of the full room, one line of thanks, the date of the next one. The people who skipped it will see what they missed. That's the only kind of FOMO worth building.

Read the output before it goes anywhere. AI writes the words. You still decide what gets sent.

Where the next people come from

The venue is booked. The invitation is drafted. Someone says, “I’ll take care of the reminder.”

Then the week gets busy. Which reminder? To whom? Has it gone out?

For your next event, try giving every task a clear handoff. A useful handoff tells the next person exactly what they are taking over and what still needs to happen.

Five lines that make ownership clear

Copy this into your event notes:

• Deliverable: What must be finished?

• Owner: Who is responsible for the next step?

• Deadline: What day and time, including timezone?

• Current version: Where is the one file or draft everyone should use?

• Status: Is it drafted, approved, scheduled or sent? What is blocking it?

Then ask the receiving person to acknowledge the handoff. Assigning a name is different from someone accepting the work.

What it looks like in practice

Illustrative example: “Attendee reminder — volunteer lead owns the next step. Draft in the shared event folder. Due Tuesday at noon Pacific. Copy is ready; waiting for the venue entrance instructions. Once those are confirmed, review the message and schedule it.”

That small record gives the next person a starting point. It also tells the rest of the team what has not happened yet.

Check the output against your actual plan. AI can organize what you give it; an owner still needs to accept the task.

Try it on one task this week

Choose the next attendee reminder. Give it an owner, deadline, current draft and status. After the event, note whether the handoff helped and what was still unclear. Use that observation to improve the next one.
